Payment may be made by cash, Debit or Credit card ( note* payment by Credit card incurs a 3% charge and business cards 5%). We only use a Secure encrypted card machine (World pay) to take card payments. We do not accept cheques or American Express. We do accept card payments or cash whilst attending our training sites or for booking courses via the telephone. We are PCI DSS compliant (Certificate of Validation displayed in Dive Centre) and therefore, all merchant copies of card receipts are destroyed following receipt of payment in to our bank account. No card information whatsoever is retained or stored in any manner by ESOD. We ensure the utmost security of your details at all times.

Pre-Requisite for purchasing any course (excluding Try-dives)

It is the responsibility of the purchaser to ensure the student is fit for scuba diving. A copy of the PADI medical questionnaire can be downloaded from this site for completion prior to purchase of any course. Each question must be answered with either "YES" or "NO". If any question is answered with a "YES" then a doctor's certificate may be required to proceed with the course. if an any doubt please contact us for advice on the mobile number below. If any information provided either by phone or on the medical form is found to be False after payment is received and subsequently, the student fails to obtain medical clearance, then our No Refund policy will be enforced. There are no exceptions to this condition. Where a student is under 18 years old, it is the parent or guardian responsibility to always be in attendance for any course, diving trip or holiday.

Purchasing Courses, Try Dives, Splashes, Payments and Attendance

Payment for all courses, Try dives and Splashes will generally be made prior to the commencement of the allocated start date unless otherwise agreed in writing (email) by us. Once your course has been booked, then it is your responsibility to ensure that you are available for training duration and date of the course, Try Dive or Splash. All courses must be completed within 9 weeks (unless agreed otherwise by ESOD to a maximum of 3 months)) of start date of the course. If you miss your scheduled start date or training on days that sessions are scheduled, Essex School of Diving Ltd will make every effort to ensure that you can start or complete your training when we have availability, but cannot be held responsible if no instructors or pool slots are available to start or continue your training or new PADI procedures have been implemented thus rendering old PADI materials null and void. This also applies if our pool slot has been cancelled by Leisure World, Colchester at short notice or you have missed your session through no fault of ours. We offer a no refund policy in all such events and may levy charges for extra training sessions or new materials if required to complete a course. (see below). ***If in doubt about any of the above, or there are "YES" answers on the medical questionaire, please contact us for advice prior to booking or making payment.

Theory Training

It is the responsibility of the student to attend nominated theory classes prior to pool sessions or when classes have been per-arranged with the student. PADI Knowledge Reviews 1,2,3 must be completed before the second (2nd) pool session as well as quizzes 1,2 & 3. ESOD have the right to refuse any further pool sessions for any student not observing this rule. Non-attendance of theory sessions without reasonable notice, especially where several theory classes are missed or classes have been specifically arranged, will be deemed unacceptable to ESOD, resulting in termination of course without refund. Theory training is taken very seriously by ESOD and therefore there can be no exceptions to this condition.

Additional Training Charges

Should you require additional pool training extra to those of the standard course requirements (Maximum of 4 (four) sessions) or you have missed pool and/or theory sessions which were available to you (Through no fault of Essex School of Diving Ltd) then, a further charge of £25.00 per session may be added to the initial course price in order for you to complete the course. In such a case, we will ensure that you are informed of your requirements and costs prior to attendance.

Courses (including Deposits)/Vouchers Purchased by Parents, Guardians, Students or Third Parties

Scuba Courses bought by any of the above as gifts/presents/vouchers/deposits for either Christmas, Birthday or any other reason, is the buyers responsibility (the purchaser) to ensure that the recipient(s) of the gift(s) are available for the course, are in good health and suitable for Scuba diver training as we offer a no refund policy on any Courses, gifts/vouchers bought. All scuba courses purchased as gifts/presents or for other reasons must be used within 3 months of Purchase Date (unless a specific date has been agreed with the school) otherwise the purchase/voucher/deposit will be forfeited. Vouchers cannot be exchanged for cash and may only be used by the person the voucher was purchased for. We will only issue Credit Notes provided there is good reason through illness (medical certificate required). The credit note will only be valid for original named person and will not be accepted for others. All credit notes will be subject to a 'valid time' status as agreed by Essex School of Diving Ltd at the time the credit note is issued.

Deposits for Holidays, Trips, Qualification Sessions, Courses

For any Holiday's, trips, qualifying Sessions or Courses booked through us, either directly or indirectly (third person) a deposit/ holiday or Course fee must be paid in advance to reserve your place. If you are required to cancel your holiday/trip/qualifying/Course for whatever reason, then we offer a no refund policy on any of the above. If the cancellation is beyond your control then any monies due will be refunded through our tour operator (if used), (as per their terms and conditions). All diving fees, Hotel costs including Deposits and Course fees will be forfeited, as those fees would have already been paid to the dive center/Instructors concerned at the time of booking the holiday, trip, qualifying or course. Please note that if "Group Holiday" terms have been applied by the supplier of the holiday then no refund can be made in any circumstance of cancellation.

Pre-Booking Courses, Deposits & Cancellation conditions

For Courses booked in advance, a deposit will be taken to secure your place on the course. Deposits are Non-Refundable and are only valid for 3 (three) months from date deposit placed. Any course that is booked, not taken or subsequently cancelled prior to the agreed course start date will result in all course fees paid to date being forfeited unless otherwise agreed by ESOD or is subject to a medical certificate being presented to us as explained in "Courses/Vouchers" above.

Essex School of Diving cannot be held responsible for unscheduled pool slot cancellations made by Leisure World, Colchester. Should a pool cancellation occur, then all courses and try dives will be rolled over to the next available pool slot with no charge being levied against the school or Student.

Interest Free Installments & Course duration/Attendance

When paying by installments an initial deposit will be taken. Once the course has started, you will be required to attend training every available week, unless due to unforeseen circumstances or by prior arrangement, you are unable to attend. You will be required to make an installment payment each session you attend. All courses paid by installments or any other means must be completed within an nine week period (unless previously agreed) of start date. Failure to complete the course within this period may result in an invoice being raised for the remainder of course fee and/or extra charges of £25 per session being applied as explained in " Attendance and Additional Charges" above, or the course being cancelled without refund.

All Courses where the student has elected to pay by installments will need to be paid in full before end of course training and before certification or a referral is issued.

When a student paying by installments terminates a course before completion and has not paid in full. Essex School of Diving will actively seek to recover the full cost of the course first by invoice and secondly by the small claims court.

When this payment method is chosen, Essex School of Diving will keep a record of payment which will be signed by both parties each time a payment is received. In cases of disagreement which are found unproven, Essex School of Diving Ltd reserves the right to terminate any further training of the complainant without refund or redress.

It is the Students responsibility to check the website (rolling news) when pool sessions are available and notify the school in good time (48hours) if not attending an available pool session.

Intensive Courses

Whilst every effort will be made by ESOD to complete an Intensive course in the specified time durations. ESOD cannot be held responsible for students who fail to attend available theory or pool sessions, or pool sessions which are cancelled at short notice by Colchester Leisure World affecting the predicted end of course dates. In such cases we do not offer refunds but will extend training periods to complete the course free of any further charges.

Termination of any Training/Try Dives/Splashes

Essex School of Diving Ltd reserves the right to refuse or terminate any training, try dives, splashes (without refund) to anyone they feel who is not suitable to train or unable to partake or complete (for any reason) any Scuba diving course/session. This applies to any course including Confined Water as well as Open Water diver training, Try Dives and Splashes. We further reserve the right to make a charge for any equipment damaged/lost or stolen through malicious or willful intent to damage either through negligence and/or misuse of any school equipment on any of the afore mentioned situations.

We offer a no refund policy for any course that has been started and then subsequently terminated at any stage of the course by either the Student (including Student's Guardian) or Essex School of Diving Ltd. Whilst every effort will be made by Essex School of Diving to ensure students progress successfully throughout any course, (including Confined Water Training and Open Water Qualifying), we cannot be held responsible if a student fails to attend, withdraws from either available theory, pool, qualifying sessions and/or is unable to complete or continue the course for various or personnel reasons within in the specified and agreed timescale. The Student or Guardian understands that theory materials, pool session bookings/charges, instructors charges, accommodation charges as well as administration charges have already been made prior to such terminations and therefore recognise the requirement of a "no refund policy" and the forfeit of any tuition fees paid to date without redress to ESOD.

Courses cancelled on Medical Grounds

Where a course has been started and is unable to be completed on "medical grounds", a copy of the medical certificate and written request (email) must supplied to Essex School of diving at the time of the incident/condition. ESOD will then suspend the course for a period of up to One Year from course start date. After One Year has elapsed from start date the course will be considered Terminated without refund. If the student wishes to restart the course during the one year period from start date, the student must first produce a Diving Doctors "Fit to dive" certificate in accordance with PADI standards to restart the course from where the course was suspended. There are no exceptions to this condition. Should "refresher" sessions be required, each session will be charged at £25 per student per session.

Safety/Accidents/Incident Reporting

All accidents or breeches of safety must be reported to a senior school official immediately and at the time of the occurrence and then recorded and signed by both parties in our accident book. An "incident report form" must be then be raised at the time of the incident. Essex School of Diving shall not recognise or will not be held responsible for any incident that is reported some time after the event occurred. It is your (the student involved) responsibility to report any such incident, breech of safety at the time of the event. There are no exceptions to this rule.

Records Retained by Essex School of Diving/ Data Protection

Student records will be held in a safe and secure environment which will only be accessible by the owner or an appointed member of staff. We will retain completed Referral and open water PADI records for a period of five years from start date after which time all such records are destroyed. All other course records (for any course) and school forms are destroyed after receiving certification. The only forms we are required to retain for completed referral/open water courses are the PADI Record card, knowledge Reviews, Quiz answer sheets and Final Exam answer sheet. All other types of records such as any school forms, progress reports, hire forms are discarded and destroyed after completion and sign off, including certification of a course.

Course Termination, Retention of Records

Where a course is terminated by a student, or the student has left the course prior to course completion, we shall retain the Students records for a period of 6 months from course start date, after which time all such records held will be destroyed unless a written (email) application is made to the above business address to retain the records for whatever purpose.

Requesting Information

You may make a request for hard copies of your own personal PADI records. An administration charge of £3.00 per copy per each individual item plus postage and packing will be made by us to provide you with the copies. Such a request should be made by email or by writing to the above business address. On receipt of the request, and at the discretion of Essex School of Diving Ltd, you will then be asked to pay the required amount of charge involved via invoice. Only after payment has been received will we despatch any of the said material. However, if you wish to make a complaint or have made a complaint via PADI regarding any course, we will only despatch all our records to the UK PADI office for investigation and will abide by the PADI guidelines and conclusions.

Free Try Dives

Free Try Dives are time limited. The cost of a Try Dive will be deducted from the total cost of the full UK open water diver course (deduct-able at the time of paying for Part 2 of the course) provided we receive a deposit of £50 for the Confined Water course (part 1) on the day of taking the Try dive. This renders the Try dive free. Any Bookings made after the day of the try dive do not qualify for the Free Try Dive offer.

Try Dive Restrictions

Minimum age of 12 years old applies. Try dives must be booked and paid for in advance and are subject to a 48 cancellation period. Failure to comply will result in loss of payment. Parents or Guardings must be in attendance for students under the age of 18 years old.

Hiring/Loaning School Equipment/Accommodation/Travel/Site Entry Fees

It is entirely the responsibility of the hirer/loaner, to check the condition of the equipment prior to the hire/loan and before return of equipment. Equipment that is hired or loaned to you is entirely at the recipient's risk and should be checked before use. and return

When hiring or borrowing equipment, you will be required to complete a Hire form containing your name, address, contact number and card details along with the equipment hired or loaned to you at the time. When the equipment is returned, the form will be destroyed after the equipment has been checked. We do not retain this information after the safe return of equipment. Should you fail to return the equipment in a satisfactory condition, we reserve the right to charge your card for repair or the total cost to replace lost/damaged goods.

We are not responsible should any hired/loaned equipment fail through misuse, negligence or willfully damage. Hired equipment must be returned in good order (as hired) within 3 (three) days after its intended use.

For Qualifying and diving trips, ESOD are not responsible for booking or paying for any accommodation/ travel costs or any dive site entry fees incurred by the student, parent or guardian. These costs do not constitute any part of the course fee.

When a student is under 18 years old, the parent or guardian are responsible for attending, booking and paying for any accommodation/travel or dive site entry fees incurred by the student. These costs do not constitute any part of the course fee.

Bottles/Equipment left for Testing/Servicing

Please note that Air bottles or scuba equipment left with us for test or service and that are unclaimed within two months of test/service date, will become the property of the school and disposed of with no redress to ESOD.


It is your (Student, Guardian or Third Party) responsibility to read all of the above Terms and Conditions so that you are fully aware of all the conditions prior to purchasing, booking, a course/Try Dive/Voucher for you or by any third party, purchasing or partaking in any scuba diving courses/activities provided by Essex School of Diving Ltd.
